Share scripts with team members and external viewers

Talent users have view-only access everywhere — including collections. They can browse collections and view the scripts inside, but cannot create, rename, delete, share, or manage scripts in collections. Selection mode and bulk actions are also disabled.

Who Sees What by Default

Not everyone sees everything:

  • Admin / Producer — see all Team Scripts
  • Editor — only sees content explicitly shared with them
  • Talent — only sees content explicitly shared with them

To grant access, share scripts or collections with role groups or individuals via the Share dialog.

Share a Personal Script Without Going Team-Wide

Named-user and role-group sharing requires Studio or Enterprise. On lower plans, the Share action remains visible but opens the Studio plan comparison when you try to add organization access.

Inside a team workspace, keep the script set to Personal and share selectively:

  1. Click ShareOrganization tab
  2. Add specific people or role groups
  3. Click Save Changes

The script stays in your My Scripts list, never appears in Team Scripts, and shared users see it in Shared with Me. You keep full ownership — like sharing from Google Drive's "My Drive."

Important: Changes don't apply until you click Save Changes. Individual permissions always override group permissions.

Share a Collection

Collection sharing requires Studio and a team-owned collection. If you start from a personal collection, the workspace owner can move the collection and its owned scripts into the Studio workspace before sharing. EasyPrompter lists memberships that must be removed from other collections you own, but it never deletes the scripts or their content. A script that you do not own, or that belongs to another workspace, must be reorganized before the collection can move.

Starting a Studio trial or completing checkout resumes this move from the same collection. You do not need to find the collection and start sharing again.

Collection owners can share with specific users, pending email invitees, and organization role groups. Invite links must be accepted while signed in with the invited address. They stop working after expiration or revocation.

Team invitation links also require the invited email address. If a link is invalid, expired, revoked, or already used, signup remains disabled and the invitee must request a new invitation from a team administrator.

If Studio ends: Existing collection shares are retained but stop granting access. The owner can still review and revoke users, invitations, and groups, but cannot add or change access until Studio is restored.

Create a Read-Only External Link

External sharing keeps one active read-only link and provides revoke and account-invite controls
  1. Click ShareExternal tab → Create External Link
  2. Copy and share — no login required for viewers
  3. Optionally set an expiration date

One active external link per script. Revoke anytime by disabling it. External viewers get a read-only teleprompter with playback controls.

Manage Team Members

From Settings → Organization, click the menu next to any member:

  • Remove: their scripts and team collections transfer to the workspace owner, their active EasyPrompter sessions are revoked, and Managed Displays assigned to them become unassigned and stay on Standby until an Admin or Producer selects a new operator.
  • Change Role — pick a new role; a warning dialog appears when downgrading to Talent

Gotcha: Downgrading someone to Talent hides their own scripts — they can only see content explicitly shared with them. Upgrading back restores full access. The role change applies server-side immediately, but the user's UI refreshes on their next page load or tab switch.

Owner protection: The workspace owner cannot be demoted or removed. EasyPrompter also prevents removing the last active Admin. Contact Support if ownership must change first.

Transfer Ownership

Ownership transfer is not currently available as a self-service Organization setting. The current owner should contact EasyPrompter Support.

Gotcha: After a supported transfer, the new owner receives in-app Studio billing permissions. The Stripe customer email does not change automatically, so the original checkout administrator may continue receiving invoices until Support updates the billing contact.
